2024 BWVC Hotel Policy
Stay to Play at the BWVC: All teams that are based outside a 60 mi radius from McCormick Place are required to stay in the BWVC room block at our designated hotels in order to qualify to participate. A reservation of 4 rooms for a minimum of 3 nights isrequired to qualify for Stay to Play credit. We have implemented this process for 2023 it may be amended for 2024.
Waivers are available via application letter and a fee is required.

No, your reservation number is used to track your reservation through our system. Once the hotels get your reservation,
we will send a confirmation number to the email address on file.

I called the hotel and they do not have any record of me. What should I do?
The hotels will not have any of your information until after the due dates have been completed. You will not be in their
system until then. Contact EM2 Housing for all questions/changes by either email em2housing@em2housing.com or by
calling 1-800-603-0917. Do not call the hotels until you receive a confirmation number.

How do I get others in my group to give you their credit card information to guarantee a particular room?
Prior to the specific deadline dates, you can forward them the confirmation email you receive. With that, they can go
to www.advancedeventsystems.com and click on the "Manage Existing Reservation" link. They will need your email
address and your reservation #. If you need to make changes, you will need to call 1-800-603-0917.

How many rooms do I have to book to participate in the BWVC?
Each team that is required to participate in the Stay to Play program is required to book a minimum of 3 rooms with a 3-
night minimum stay. These 3 rooms can be made up of team rooms (where players are staying in a room together),
coaches' rooms, and/or parents' rooms
